1. How to Design a Presentation Folder: Tips and Best Practices

    A presentation folder is more than a practical enclosure for documents — it's the first thing a client or prospect touches when they receive your proposal, welcome pack or pitch materials. The quality and design of the folder sets the tone for everything inside it. A well-designed branded folder communicates investment, professionalism and attention to detail. A flimsy, generic folder communicates the opposite — regardless of how good the documents inside may be.

    In this guide, we cover everything you need to design a professional presentation folder that makes the right impression.

    Understand the Format

    Before you start designing, understand the physical structure of a glued presentation folder:

    • A presentation folder is an A4 document printed on a large flat sheet that is then die-cut, scored and glued into the final folder shape
    • The folder has two panels — a front cover and a back cover — connected by a spine
    • Inside, one or two pockets hold loose documents, business cards and other inserts
    • A business card slot is typically die-cut into one of the inside pockets
    • The artwork is supplied as a flat die-cut template — you design on the flat sheet and it folds into the finished folder

    Two Files Are Required

    Our presentation folders require two artwork files:

    • File 1 — with template guides — your design laid over the template showing die-cut lines, fold lines and glue zones. Used for checking artwork positioning
    • File 2 — without template guides — the clean artwork only, without any guide lines. This is the file sent to print

    Always supply both files clearly labelled to avoid confusion at print stage.

    Front Cover Design

    The front cover is the primary branded surface of your folder — the first thing the recipient sees. Key design principles:

    • Your logo prominently placed — the front cover is not the place for complexity. A clean design with your logo as the dominant element, your company name and perhaps a tagline or strapline is usually the most effective approach
    • Brand colours and imagery — consistent with your other marketing materials. The folder should be immediately recognisable as part of the same brand family as your letterhead and business cards
    • Consider a full-bleed design — a full-bleed background colour or image on the front cover creates a striking impression. Extend all background elements 3mm beyond the trim line. See our guide: What is Bleed and Safe Zone?
    • Keep text minimal — the front cover needs to communicate brand identity, not information. Save the detail for the inside panels and inserted documents

    Back Cover Design

    The back cover is typically less prominent than the front but still receives attention — particularly when the folder is placed face-down on a desk. Common approaches:

    • Contact details — address, phone, email, website and social media handles
    • A continuation of the front cover design — a brand pattern, colour or imagery that wraps around to the back
    • A clean, minimal approach — simply the logo and contact details on a white or brand-colour background
    • Accreditations, certifications or awards that reinforce credibility

    Inside Panels

    The inside panels are functional as well as branded — they hold your documents and need to be designed accordingly:

    • Avoid placing important content in the pocket areas — the lower portion of each inside panel forms the pocket. Content in this area will be hidden behind inserted documents. Keep the upper portion of the inside panels for any branded content
    • Business card slot — position a business card slot die-cut into one of the inside pockets. This is standard on most presentation folder designs and a practical feature clients expect
    • Keep it clean — the inside panels don't need to be heavily designed. A brand colour, a subtle pattern or simply the logo repeated at reduced size provides brand presence without competing with the documents inside

    Glue Zones

    The glue zones are areas on the flat artwork template where adhesive will be applied to fold and assemble the folder. These areas will not be visible on the finished folder but must be kept free of important content:

    • Never place text, logos or critical design elements in the glue zones
    • Background colours and patterns can extend into glue zones as they will be folded inside
    • Check the template carefully and mark glue zones clearly when reviewing your design

    Choose the Right Finish

    The lamination finish on your presentation folder significantly affects how it feels in the hand:

    • Gloss lamination — shiny, vibrant and resistant to handling. Suits bold, image-led designs and brands that want maximum colour impact
    • Matt lamination — smooth, sophisticated and popular with professional services, law firms and luxury brands. The most widely used finish for presentation folders in professional services sectors
    • No lamination — unlaminated 350gsm silk has a clean, professional feel at a lower price point. Less durable than laminated options but perfectly acceptable for many applications

    Artwork Setup

    • Download and use the template — always. The die-cut shape must match our production template exactly
    • Bleed: 3mm beyond the die-cut line on all outer edges
    • Safe zone: 3mm inside the trim line for all important content

    • Format: PDF with fonts outlined or embedded — supply two files as described above
