1. How to Set Up an Exhibition Stand on a Budget

Exhibiting at a trade show or event can feel like an expensive undertaking — stand space, display products, print materials, travel and staff time all add up quickly. But a big budget is not a prerequisite for a professional, impactful stand. With the right choices, a modest investment can produce a display that looks confident, communicates clearly and generates real results. In this guide, we share practical advice for getting the most from a limited exhibition budget.

    Prioritise What Visitors Actually See

The first principle of budget exhibition planning is to spend where it matters most — on the elements that visitors actually see and interact with — and save on everything else. Visitors to your stand will judge you primarily on:

    • Your backdrop display — the largest, most visible element of your stand
    • Your printed materials — the brochures, leaflets and business cards they take away
    • The tidiness and organisation of your stand
    • Your team's presentation and engagement

They will not notice whether your counter is a premium stretch fabric unit or a simple trestle table with a tablecloth. They will notice if your backdrop looks cheap, your leaflets are flimsy or your stand is cluttered and disorganised.

Choose the Right Backdrop for Your Budget

Your backdrop is your single most important display investment. Even on a tight budget, don't compromise on this:

    • Two or three roller banners — positioned side by side, roller banners can create an effective backdrop at a fraction of the cost of a pop-up system. A 1000mm premium roller banner on each side of a 3m stand with a wide roller banner in the centre creates a cohesive, professional backdrop. See our standard and premium roller banners
    • A single SEG fabric pop-up — the 1×3 size (770mm wide) is the most affordable SEG fabric display and can anchor a small stand very effectively. See our SEG fabric pop-up displays
    • Traditional pop-up (Lite) — the Lite version of our traditional pop-up includes the frame and graphic without the carry case and LED lights, at a lower price point. See our traditional pop-up (Lite)

Skip the Branded Counter — For Now

A branded counter looks great but is not essential for a first or budget exhibition. A simple trestle table (often provided by the venue) covered with a plain tablecloth works perfectly well as a functional surface. Invest in a branded counter when your exhibition programme is more established and you're exhibiting regularly enough to justify the cost.

When you're ready to invest, our most cost-effective counter option is the budget display counter — a compact, professional branded counter at a competitive price point.

    Invest in Quality Literature

Your printed materials are what visitors take away with them — and they continue to represent your brand long after the event. Flimsy, poorly printed leaflets undermine the impression created by even a good display. Invest in quality:

    • A5 folded leaflet — a tri-fold or bi-fold A5 leaflet on 170gsm silk gives a professional, substantial feel at a modest cost. This is the single most important piece of print literature for most exhibitions. See our folded leaflet printing
    • Business cards — every team member on the stand needs business cards. Don't run out. See our business card range
    • A small supply of brochures — for visitors who want more detail. Don't print thousands — print a targeted quantity and replenish between shows. See our booklet printing

Reuse and Refresh Rather Than Replace

One of the biggest budget mistakes in exhibition marketing is treating every show as a fresh start and reprinting everything from scratch. A well-designed roller banner or pop-up display can be used at multiple events over several years. Design your core display elements to be evergreen — brand-focused rather than campaign-specific — so they remain relevant across many events.

When messaging needs to change, replace only what needs replacing. Most display products allow graphic replacement without replacing the hardware — roller banner graphics, SEG fabric graphics and traditional pop-up panels can all be updated independently of the frame.

Make Your Stand Look Bigger Than It Is

A few practical tricks for making a small or budget stand look more impressive:

    • Keep it tidy — a clean, uncluttered stand always looks more professional than a larger but messy one. Remove everything that doesn't need to be visible
    • Use height — taller displays draw the eye from further away. A 2m roller banner positioned at the back of even a very small stand creates a strong visual anchor
    • Consistent branding — every element on your stand — display, literature, lanyards, tablecloth — should use the same colours and logo. Consistency communicates professionalism regardless of budget
    • Printed lanyards for your team — a small investment that immediately makes your team look unified and professional. See our printed lanyards

    Budget Exhibition Stand Checklist

    • 2–3 roller banners or one entry-level pop-up display — backdrop sorted
    • A5 folded leaflets — 250–500 copies depending on expected footfall
    • Business cards — at least 50 per team member per day
    • Printed lanyards for all stand staff
    • Literature stand or simple holder to keep materials organised
    • Plain tablecloth for trestle table if no branded counter
    • Pen, notepad and lead capture method (paper form or tablet)
